Managing requests and assignments

When a parent or staff member requests a route, it creates a transport assignment. Assignments track each individual's transport status from request through to confirmation, giving your team a clear picture of who needs to go where and when.

Where to manage assignments

Assignments can be managed in two places: from the central assignments table within the Transport section, or from the Transport tab on each individual camper or staff profile. Both views give you the ability to review request details, update assignments, and take action.

Confirming and rejecting requests

When reviewing a request, you'll see the individual's details alongside their requested route, stop, and any additional comments they submitted. From here you can assign them to a specific vehicle, select their stop and time, and confirm the request. You also have the option to notify the parent or staff member via email when confirming.

Assignments support both individual and bulk actions. You can confirm or reject requests one at a time, or select multiple assignments and process them in bulk.

Assigning routes from data tables

Route assignments can also be made directly from the camper and staff data tables using bulk actions. This makes it easy to assign routes to large groups without navigating to each profile individually.

Transport notes

Each assignment includes a transport notes section where you can view and add notes against an individual. Parents may include additional comments when submitting their request, and your team can add internal notes at any point during the process.

Exports

Transport assignment data can be exported from the assignments table, allowing you to share information with your wider team or keep offline records as needed.
